Chapi Tours Terms & Conditions

Welcome to Chapi Tours! These Terms & Conditions apply to all services provided by us, whether booked directly through our website, email, phone, or trusted partners. By using our website or completing a reservation, you agree to these terms, including our Privacy Policy.

1. Acceptance of Terms

These Terms & Conditions govern your access to and use of Chapi Tours’ services. By booking a tour or using our website, you acknowledge that you have read, understood, and agree to abide by these terms. If you do not accept any part of these terms or are legally restricted from entering agreements, we kindly ask that you refrain from using our services.

2. Account Access & Security

To facilitate bookings and enhance security, we may require registration details when you sign up or subscribe. Your personal information is protected under our Privacy Policy.

For security purposes, please keep your login credentials confidential and notify us immediately if you notice unauthorized access to your account. We reserve the right to disable accounts without prior notice if necessary to protect security and integrity.

3. Intellectual Property

All content on our website—including text, images, itineraries, and design elements—is the property of Chapi Tours and is protected by intellectual property laws. You may use our resources for personal, non-commercial purposes only. Unauthorized reproduction, modification, distribution, or publication of our content without permission is strictly prohibited.

5. Payment & Deposit Policies

To confirm your booking, a deposit or full payment is required as specified by your travel consultant:

• Deposit: A 30% deposit (or full payment, depending on the tour) is required to secure your booking.
• Final Payment: The remaining balance must be settled before your travel date, as outlined in your confirmation details.

Payment Methods:

• Credit Card: Secure payments via 9PAY (Visa, MasterCard, JCB), with a 3-3.5% service fee.
• Bank Transfer: Available in USD and VND. Ensure accuracy when entering payment details.

Note: Remittance fees are the responsibility of the sender.

6. Booking Confirmation & Vouchers

Once payment is confirmed, we will issue a service voucher within one working day via email.

7. Cancellations & Refunds

Cancellation fees for bookings will be calculated from all local suppliers as different cruise lines and other partners have their own cancellation policies. Cancellation and refund policies are detailed on each cruise, under the Rate & Availability tab. There will be no refund or exchange if the customer opts out while the tour in ongoing. If you have not used any of the services, no compensation will be given for the unused tour portion.

Main services general cancellation policy by customer (applied for FIT clients, for GIT clients we will update separate conditions when we are dealing):

Noted: There are some special conditions of hotels and cruises… based on suppliers, promotions, and peak season periods we will confirm the condition via email and will follow that policy.

Tours (from 3 days above)

• More than 60 days before arrival date: FREE of charge
• From 30 to 59 days before arrival date: 30% of total rate
• From 15 to 29 days before arrival date: 50% of total rate
• From 7 to 14 days before arrival date: 70% of total rate
• Less than 7 days before arrival date or No show: 100% of the total rate

Halong Bay Cruise

• More than 30 days before check-in: FREE of charge
• From 11 to 30 days before check-in: 30% of total rates
• From 7 to 10 days before check-in: 50% of total rates
• Less 7 days before check-in or no-show: 100% of total rates

Mekong River Cruise

• More than 90 days before check-in: 30% of the cruise price
• From 60 to 89 days before check-in: 50% of the cruise price
• From 30 to 59 days before check-in: 75% of the cruise price
• Less than 30 days before check-in: 100% of the cruise price

Short Tours (1 – 3 days)

• More than 7 days prior: 10% of total rates.
• From 4 to 7 days prior: 50% of total rates.
• Less than 3 days prior or no show: 100% of total rates.

Certain tours or cruises may have different cancellation policies, which will be communicated during booking.

8. Liability & Travel Insurance

While we ensure a high standard of service, Chapi Tours is not liable for loss, injury, or damages resulting from circumstances beyond our control, such as natural disasters, delays, or political events.

We strongly recommend all travelers obtain comprehensive travel insurance covering medical emergencies, trip cancellations, and personal belongings.

Unforeseen events may require changes to your itinerary. In such cases, we will arrange alternative services of comparable quality whenever possible.

9. Children’s Rates

We welcome travelers of all ages. Child pricing is structured as follows:

• Infants (<4 years old): Free (excludes some ticketed attractions or fees).
• Children (4-11 years old): 75% of the adult rate (or 90% if sharing a twin room). Additional charges apply for an extra bed.
• Children 11+ years: Adult rates apply.

Chapi Tours carefully selects partners and services to maintain high standards of quality. Should you experience any service issues, please contact us immediately, and we will work to resolve them.

11. User-Generated Content & Reviews

We encourage guests to share their travel experiences through reviews, photos, or testimonials. By submitting content, you grant Chapi Tours permission to republish and use it in marketing materials. All user contributions must comply with local regulations, and we reserve the right to remove inappropriate content.

12. Accuracy of Information

We strive to keep our website and tour details up to date; however, information is subject to change without prior notice. Chapi Tours is not liable for any inaccuracies or outdated information that may impact your trip decisions.
