Payment & Deposit Policies

To secure your booking, a deposit or full payment is required, as outlined by the tour consultant:

• Deposit: A 30% deposit (or full payment, depending on the tour) confirms your booking.
• Final Payment: Due before your travel date, based on the specific services you’ve selected. Your dedicated travel consultant will confirm the payment schedule.

• Credit Card: Processed securely via the 9PAY system, accepting Visa, MasterCard, and JCB (with a 3-3.5% service fee).
• Bank Transfer: USD and VND bank transfer details are provided below. Please double-check bank details for smooth transactions.

Booking Confirmation & Vouchers

Once payment is confirmed, we’ll send you a service voucher within one working day via email.

Cancellations & Refunds

We understand that plans can change, so our cancellation policies are designed for fairness. Cancellations are handled per our general guidelines:

• Multi-day Tours (3+ days): Free if canceled 45+ days before arrival, with increasing fees closer to the arrival date.
• Halong Bay Cruise: Free if canceled 30+ days before check-in; charges apply if closer to check-in.
• Short Tours (1-3 days): Refundable up to 7 days prior; full fees apply for last-minute cancellations.

Specific tours or cruises may have unique cancellation policies. These will be communicated during the booking process.

Liability & Insurance

While we prioritize safety and seamless service, Chapi Tours is not responsible for loss, injury, or damage incurred due to factors beyond our control, such as natural disasters, delays, or political events. All travelers are required to have adequate travel insurance.

Airline schedules and local conditions may occasionally affect accommodation and itineraries. If this occurs, we will make alternative arrangements of comparable quality whenever possible.

Children’s Rates

We warmly welcome travelers of all ages, and specific age-based rates may apply for each tour:

• Infants (<4 years old): Free (excludes some tickets/fees).
• Ages 4-11: 75% of adult rate, or 90% for twin share. If an extra bed is needed, please ask for details.
• 11+ years: Adult rates apply.
